1. Setup & Pack-Up (Bump In / Out)
• Setup (Bump-In): Begins at 7:00 AM and must be completed by 11:00 AM
• Pack-Up (Bump-Out): Must be completed by 9: 00 PM
• Setup will be done in 3 allocated time slots (batches) to ensure smooth flow

2. Parking Instructions
• Temporary unloading allowed at hotel porch/valet area (few minutes only)
• Post unloading, cars must be moved to Chadstone Mall or Hotel’s underground parking
• Ballroom entry is right next to hotel’s main entrance

3. Vendor Hospitality
• Complimentary breakfast, tea, and coffee will be served between 8:00 AM – 11:00 AM

4. Booth Setup & Allocation
•Premium Booth: 9 sq m, 3 tables (U-shape), 2 chairs
Standard Booth: 6 sq m, 2 tables (L-shape), 2 chairs
Regular Booth: 3 sq m, - 1 tables 2 chairs in the atlier room (next to the Grand Ballroom)

5. Display & Décor Guidelines
• Do NOT paste, pin, or tape anything to the ballroom walls
• Any damages will be chargeable

6. Security & Responsibility
• While security measures will be in place, Spirit of Diwali is not liable for loss or theft
• Please safeguard valuables

7. Payment & Cancellation Policy
• Before 1st September: 50% refund on cancellations
• After 1st September : No refund
• All bookings are final and non-transferable

8. Promotions & Marketing
• Event will be actively promoted on social media
• Exhibitors are encouraged to share their brand/product visuals for online promotion
• Take your brand visibility to the next level with exclusive influencer-led promotions.

9. Footfall Disclaimer
• Estimated footfall: min 500+ visitors
• No guarantees on minimum sales or turnout

10. Paid Support (Optional)
• Setup & support volunteers available at $25–$30/hour
• Must be booked in advance through the organizing team

11. ABN Requirement
• All exhibitors must provide a valid Australian Business Number (ABN)
• ABN will be verified with the ATO

12. GST & Invoicing
• All prices are inclusive of 10% GST
• Tax invoice will mention GST component and organizer’s GST number9

13. Trial Room Facility
• A designated trial room area will be available at the venue for customers. Exhibitors are strictly advised not to bring or set up any personal or inflated trial rooms, as space is limited. The venue washroom may also be used for trial purposes if required.
